The role of a relationship support executive within the CCLA team at Jupiter Asset Management is pivotal in ensuring the smooth operation and success of the team of twelve client managers and directors who hold relationships with around 1,200 of CCLA’s largest charity investors.
Principally a support-based role providing assistance to the team and ultimately CCLA’s clients, this position requires a professional who is not only adept at administrative tasks but also possesses an understanding of the asset management industry. An interest in the charity sector is also desirable.
The Relationship Support Executive acts as the backbone of the CCLA Client Relationship team, providing essential support that enables the team to focus on building and nurturing strong, enduring relationships with charity investors. These relationships are built over time through regular in person meetings across the UK, high numbers of events and regular communications. The Relationship Support Executive is seen as a key member of the team.
The Relationship Support Executive should look to take the initiative and be proactive in identifying opportunities for improvement within team processes in the interests of CCLA clients. A successful relationship support executive will not wait for direction but will actively seek ways to enhance efficiency and effectiveness.
The Relationship Support Executive will work effectively with other support teams such as CCLA Business Development Support and CCLA Client Support who also help the client Managers and Directors in the service of our clients.
Key Responsibilities
Administrative support
- Preparation for internal team meetings and socials including support with papers and logistics.
- Meeting Coordination: Organise client meetings for managers/directors where appropriate, including finding cover for colleagues on annual leave.
- Book travel including flights, trains, taxis and hotels in line with travel policy.
- Complete expense claims and process invoices using Workday.
- Completion of CPD returns for the team on an annual basis.
- Coordination of annual and mid-year appraisals including coordinating meetings and ensuring paperwork is completed in good time.
- Routine office administration (e.g. electronic filing, note taking, etc.)
Relationship support
- Support managers/directors with the production of PowerPoint presentations for client meetings, including printing and binding.
- Events support: travel, logistics and coordination for UK-wide event series, conferences and client events, working with Events team colleagues.
- Market Research: Conduct research ahead of events e.g. conference delegate lists, clients, prospects.
- Team Reporting: Coordinate with other teams to prepare reports and analysis to track client flows, client meetings, requests for information and other management information that can support how we serve our clients.
- Database Management: Maintain and update Salesforce, ensuring all client information is accurate and up to date and support Client Managers with data management where required.
Desired skills / experience
- proven team/personal assistant experience preferably in Financial Services
- advanced knowledge of Microsoft Office (in particular, Powerpoint, Word and Outlook)
- strong level knowledge of Excel
- knowledge of Salesforce preferable but not essential
- accuracy and attention to detail even when working under pressure
