As directed by the Head of Property, to assist in CCLA’s property management and investment operations, directly reporting to the Deputy Head of Property and supporting the Property Investment team on a broad range of property management, administrative matters, data management and analysis needs across the CCLA’s property portfolio.
The workload will be wide and varied, reflecting a range of interesting and challenging property management and reporting functions, assisting in many aspects of the property management and operating processes as required.
Responsibilities
Direct responsibility for the management of property assets allocated from within the CCLA property funds. This responsibility will include the maintenance of all property records, updating the property management system (currently Landmaster), and managing supporting spreadsheets.
Deal with daily communications as appropriate and in timely fashion. Be able to act independently, and generally without constant oversight in applying technical skills, judgement and experience. To be self-driven and assured to act with confidence in progressing property management activities demonstrating entrepreneurial flair and risk control. Always acting as a team player and understanding the need to report progress at regular, appropriate intervals, and enthusiastically participate in team meetings.
Core property management duties will include landlord and tenant relationships and issues arising, rent reviews, assignments, sub-lettings, alterations, repairs, dealing with credit control, payment arrears and lease renewals, surrenders and forfeitures, granting new leases and renewals. Other matters will include building insurance, rent and service charge matters.
Manage the outsourced property manager in connection with their core management functions, and any other support professionals, including solicitors, agents and surveyors.
Assist on a variety of capital, rental valuation and income issues as instructed. To consider and always be aware of capital, rental valuation and income implications of all property management decisions, issues handled and undertaken. Review and monitor on a regular basis key asset features and valuations - capital and rental. Attain such knowledge to be capable of approving or challenging monthly valuation movements and participate with the monthly external re-valuation processes.
Assist with performance monitoring and analysis, and with the preparation of a range of portfolio statistics, typically on a quarterly basis. This will include engaging with MSCI in connection with their portfolio analysis services, benchmarking and broader data reporting, and any other party performing critical functions such as the outsourced environmental consultants and the range of energy and other ESG related data recording CCLA’s performance. Assist with performance reporting as requested. Demonstrate competence in data management, spreadsheet construction and management, and reporting. Experience using supporting IT systems and software.
Engagement with other CCLA operations. Liaise with the Property Finance team and other CCLA staff as required. Ensure accurate and timely provision of information and record updates for internal use. The flow of data and analysis is vital to the operation and requires effective communication skills dealing with the outsourced managers, the external valuers, and all support professionals. Assist the marketing and client relationship management teams by providing relevant asset information and data for their use in reports and presentation material.
Assist with active management opportunities within the portfolios as directed in accordance with the applied strategy, progressing identified action points in line with agreed viable financial appraisals. Ensure a full record of management activities and financial/valuation data is kept up to date.
Participate in developing CCLA's policies and procedures across the range of environmental social and governance factors. Be aware of ESG property issues and impacts, always including ESG related due diligence alongside the standard property and financial due diligence and investigations connected with property investment and leasing transactions and management. To work alongside, and cooperate with, the external specialist environmental and broader ESG management resource, including submissions and benchmarking. To collaborate with CCLA's Sustainability team in the delivery of responsible investment and stewardship programmes.
To follow always the Property Department's Procedures Manual and participate in the regular review of such procedures.

Must be a team player and work collaboratively.
Experience/qualification
Qualified MRICS surveyor with 5 years’ post-qualification experience.
Compliance with all CPD requirements.
